Information we process
CloseLoop processes the account identity used to sign in; business profile details; customer contact information; estimate, service, scheduling, and response data; follow-up activity; and files that you or your customers upload. We also process limited technical logs, pilot feedback, and coarse product activity needed to keep the service reliable and improve the pilot experience.
How information is used
We use this information to provide estimates and customer links, organize leads, schedule requested follow-ups, record customer decisions, calculate business reporting, prevent abuse, troubleshoot problems, support pilot users, and improve the service.
Pilot feedback and product activity
During the pilot, CloseLoop records a small set of activity milestones, such as when the app or a major section is opened and when Quick Start is opened, paused, or completed. These activity events contain the section name and account identifier, not estimate text, customer contact details, or message contents. When you voluntarily send feedback, we store the category, the section you were viewing, your written message, and its review status so the product team can respond to patterns and prioritize fixes.
Service providers
CloseLoop relies on infrastructure and authentication services to run the application and store data. When automatic email is enabled, the configured email-delivery provider receives the sender, recipient, message, and schedule needed to deliver those emails. Providers may process information only to perform their services, subject to their own terms and privacy commitments.
Your customer data
You are responsible for having an appropriate reason to enter customer information and contact customers. CloseLoop does not sell customer or account data. Automated follow-up emails include a way for the recipient to stop reminders for that estimate.
Retention and control
Signed-in users can export their workspace data and request account deletion from Business profile. Deletion removes active application records and uploaded request photos, subject to short-lived operational backups or legal retention requirements that may apply.
Security
We use access controls, encrypted network connections, scoped storage, and secure sign-in to protect data. No online service can promise absolute security, so users should also protect their account and avoid adding unnecessary sensitive information.
Children
CloseLoop is a business service and is not directed to children under 13.

We may update this policy as the product evolves. Material changes will be reflected by a new date on this page. Signed-in pilot users can choose Help & feedback inside CloseLoop for product, privacy, or account-control questions. If you submitted a quote request or received an estimate from a business using CloseLoop, contact that business directly about its use of your information.
